Booking Policy

How a booking moves from request to confirmed event on VibrArte: quotes, contracts, payments, client and artist responsibilities, and how cancellations, refunds, and concerns are handled.

Booking Overview

VibrArte operates the marketplace that connects clients with independent artists; VibrArte is not the performer and does not direct or supervise how an artist delivers their services.

A booking moves through a fixed sequence: a client submits an event request, the artist responds with a quote, the client accepts the quote, a contract is generated reflecting that accepted quote, and payment is processed. Messaging between client and artist is available throughout this process to clarify event details.

Booking Confirmation

A booking is confirmed the moment the client accepts the artist's quote. This confirmation is independent of, and happens before, payment is completed β€” accepting a quote is what creates a binding booking, not the payment itself.

Client Responsibilities

As a client, you are responsible for providing accurate event information when submitting a request β€” event type, date, venue, guest count, and any other details the artist needs to prepare an accurate quote.

You are responsible for communicating promptly with the artist about any changes to the event, and for ensuring the artist has the access, timing information, and venue conditions needed to perform as agreed once a booking is confirmed.

Artist Responsibilities

As an artist, you are responsible for keeping your public profile accurate and for quoting only services you are able to deliver.

Once a client accepts your quote, you are responsible for fulfilling that confirmed booking as quoted and for conducting yourself professionally with the client throughout the process. These booking-specific responsibilities apply alongside the broader obligations in VibrArte's Artist Agreement.

Quotes and Contracts

Quotes are created by the artist in response to a specific event request, with a price and item breakdown the artist defines (such as performance time, travel fee, or setup fee).

Once a client accepts a quote, VibrArte automatically generates a contract reflecting that accepted quote β€” including the agreed price and terms in effect at that time β€” for the booking.

Payments

Payments are processed through Stripe. VibrArte does not store card numbers or other full payment card details.

Total client charges include a service fee on top of the artist's quoted amount, and the artist's payout is the quoted amount minus their membership tier's commission, as described in VibrArte's Terms of Service.

Cancellations

Booking cancellations are reviewed and processed manually by VibrArte, on a case-by-case basis. There is no self-service or automatic cancellation process for clients or artists, and no automatic refund tiers based on how much notice was given. To request a cancellation, contact VibrArte with the booking details and the reason for the request.

Refunds

When a cancellation is approved, VibrArte determines whether the refund is full or partial based on its review of the booking and the payment records on file. There is no fixed refund percentage or schedule; the amount is calculated from the actual payment made, not estimated.

Concerns and Disputes

If you have a concern about a booking β€” before, during, or after the event β€” contact VibrArte support directly with the booking details. A dedicated dispute-resolution workflow is not built into the platform today; concerns are reviewed manually using the same cancellation and refund process described above.

Changes and Governing Terms

VibrArte may update this Booking Policy from time to time; the version and last-updated date at the top of this page reflect the version currently in effect.

This Booking Policy works alongside VibrArte's Terms of Service, Privacy Policy, and Artist Agreement, which continue to apply to your use of the platform. The governing law and jurisdiction for this policy have not yet been finalized and will be added in a future update to this document.
